Separate inputs from calculations
If staff overwrite formulas in a shared job-cost sheet, map the intended inputs and calculated outputs first. Protecting formula ranges can reduce accidental changes while people continue entering job details. It does not validate calculations or make confidential information safe to share. The owner still decides who should have access to the file.
Choose a warning or restriction
In Google Sheets, use Data, then Protect sheets and ranges. A warning asks the editor to confirm a change but does not prevent it. An editing restriction limits who can change the range. You can protect a sheet while leaving specified cells unprotected. Google notes that protected spreadsheets can still be copied or exported: range protection is not a security measure.

Design a fictional job-cost worksheet
Imagine a sheet with job reference, material quantity and unit price as inputs, followed by calculated line totals. List each field, the person allowed to update it and the expected result. The office lead approves the formula columns; staff enter the agreed inputs. Keep a correction route for a price or formula that needs an authorized change. This is a proposed workflow, not a customer result.
Test with staff permissions
Make a test copy without private customer data. Ask a staff editor to change an input, attempt a formula edit and add a representative new row. Check whether the selected ranges still cover the intended cells. Have the authorized reviewer confirm that legitimate corrections remain possible. Record the result and the responsible person before applying the setup to the working sheet.
Check compatibility
Google says Office-editing files must be converted to Google Sheets to use this protection feature. It also cannot simultaneously lock cell formatting while allowing value edits in those cells. If a form, script or integration updates the workbook, test that exact workflow in the copy; a staff test does not establish integration behaviour. Native configuration may be sufficient without purchasing an AI system.
Compare avoided rework with maintenance
For illustration, three accidental overwrites taking 20 minutes each to investigate consume an hour a month. Preventing two would release 40 minutes, if those assumptions hold. Track actual incidents after the change. Subtract setup and recurring maintenance time, plus paid support or software costs, before deciding whether the effort is worthwhile. Available staff time is not an automatic payroll saving.
