Separate preparation from purchasing

An assistant can organize a purchase request without being allowed to order anything. This is a sensible first step when staff repeatedly copy quantities, references and delivery requests from email. Keep the final supplier order with the person who controls spending.

Define a usable request

Capture the requester, supplier, item reference, quantity, unit, requested date and supporting message. Ask for a cost centre if your team uses one. A request for 'two boxes' is incomplete when the catalogue sells both individual units and cartons. Flag that difference instead of filling it with a guess.

Show the reviewer the differences

Compare the proposed brief with the original request and the approved item list. Highlight missing codes, substituted products and changed quantities. The purchaser resolves questions, selects the correct price and authorizes the order in the purchasing system. Record who approved which version.

Keep delivery separate

Count avoidable handling

Measure how long staff spend preparing complete requests and how often suppliers need clarification. Separate genuine reductions in correction work from faster data entry alone. Compare these improvements with integration, training and maintenance costs. Start with one supplier and a manageable set of item codes.
