Follow the status, not just the calendar

A useful quote follow-up system checks whether the estimate is still open before preparing another message. A sequence that simply waits three days and sends can embarrass your team after the customer has already booked, declined or asked a question. Begin with a small set of approved estimates.

Define the record

Store the estimate reference, version, responsible person, last contact, next review date and current status. Use clear states such as awaiting response, question received, accepted and closed. The proposed message should reference the approved scope without restating an expired price as current.

Build a stop checklist

A reply, accepted estimate, cancellation, opt-out or staff hold should stop further automatic follow-up. Check these conditions again immediately before sending. Customer questions become tasks for a person. Do not let the assistant negotiate discounts or promise appointment availability from an old calendar entry.

Try uncomfortable examples first

Test a customer who replies from another address, a revised quote and two open jobs for one company. Confirm your email and quoting tools share stable references. If replies cannot be associated reliably, draft reminders for staff review rather than enabling unattended delivery.

Judge usefulness, not message volume

Track open estimates reviewed, valid responses and staff minutes per follow-up. Count inappropriate reminders as failures. Any extra bookings must be measured, not assumed. Include the cost of maintaining the status integration and reviewing exception tasks when deciding whether the workflow earns its keep.
