Build a practical checklist

Capture the property area involved, desired outcome, scope described, timing preference, stated budget if volunteered and documents supplied. Separate the customer's words from the assistant's interpretation. 'Refresh the kitchen' does not establish whether plumbing, cabinetry or structural changes are included.

Surface the unknowns

The brief should list unresolved questions, decisions required and any contradictory instructions. Have the project lead check the summary before the meeting. Photographs provide context but should not be treated as an inspection or evidence that hidden conditions are safe.

Connect only the necessary records

Check that your form and project workspace can retain attachments under the correct project reference. A shared template may be enough before a deeper integration. Limit the information copied into calendars, where more people may have access than in the project folder.

Compare consultation preparation

Measure the time spent assembling the brief and the number of clarification rounds after the meeting. Include the customer's effort completing the form. If the process saves ten minutes internally but creates a confusing questionnaire, simplify it. Include setup and ongoing template maintenance in the comparison.
