The decision to improve
Two reports can disagree because they count different things. Build a small metric dictionary before connecting a reporting assistant. AI can explain the approved definitions, but it should not silently decide whether a cancelled job counts as a booking.
A practical starting record
For each metric, record its purpose, source, date field, exclusions, owner and an example. Define whether enquiries count people, messages or opportunities. A customer sending three messages might represent one enquiry under your agreed definition; keep that decision explicit.
Review and tool fit
The reporting owner approves definitions and logs changes. Version history helps explain why a number changed after a definition update. Confirm source exports provide the required IDs and dates. Test a duplicate enquiry and a booking that crosses reporting periods before using the calculation.

Measure the real value
Measure time spent reconciling disagreements and correcting report explanations. Include definition maintenance in ongoing costs. Compare setup and support with your reporting workload. Consistency improves interpretation but does not establish that the underlying business data is complete.
