Test whether your business can restore its workflow records

Practise restoring a small sample before your team depends on an automated business system.

Before relying on an automated job register, ask who can recover it and what the recovered records contain. Restore an approved sample somewhere separate from live work. Check whether staff can use the records, notes and references to continue the business process. This is more than undoing one document edit.

Choose a job with several parts

For a hypothetical service company, select a completed test job containing a customer reference, work order, attachment and approval history. List the pieces that must remain connected. Have your IT provider restore the sample into an isolated destination with outbound notifications disabled. The office lead checks the attachment, job association and original approval details. Do not test by deleting live work.

Check backup scope

The Canadian Centre for Cyber Security recommends clear restoration procedures and regular checks that recovery works as expected. Ask whether the selected product and plan cover records, attachments, configuration and usable permissions. An export of rows may not recreate an application. AI cannot replace missing files or reconstruct a trustworthy approval from a guess. Keep credentials out of the recovery checklist.

Record the result

Note the test date, source backup time, destination, responsible person, missing items and time until the sample was usable. Agree how much recent work the business could tolerate re-entering. If a restore triggers reminders or invoices, stop and correct the test isolation. Document how duplicate jobs will be avoided when normal service resumes.

Make a maintenance decision

Use missing items to improve backup scope or recovery instructions while the live system remains available. Include storage, provider support and staff drill time in the budget. AI can help draft a checklist from approved documentation; staff must verify restored records. Judge the exercise by usable recovery, without promising that data loss is impossible.
