Help staff find the current company procedure

Build a small internal knowledge assistant that points people to approved source documents.

Begin with a narrow library

A staff assistant is most useful when it searches a small set of current, approved procedures. Uploading every historical file can make old instructions look authoritative. Start with one recurring question area, such as purchasing requests or opening duties, and appoint a document owner.

Give each answer a source

Record the document title, version, owner and review date. Require answers to link to the supporting section. For an illustrative question about approving a supplier invoice, the assistant should point to the current approval procedure, not invent a threshold because an older note mentioned one.

Make uncertainty a normal response

When the library contains conflicting instructions or no answer, the assistant should say so and route the question to the owner. Staff need a way to report a wrong answer. Sensitive personnel records should not become searchable simply because general procedures are available to the team.

Check access and updates

Test with an ordinary employee account, not only the administrator's account. Confirm how the assistant receives document changes and whether removed access takes effect. Where permissions cannot be preserved, use a separate approved library with a clearly defined audience.

Measure successful self-service

Track time to find a supported answer, unanswered questions and corrections. Review a sample of source links each week. Fewer interruptions can release manager time, but maintenance remains real work. Include document cleanup, access reviews and content ownership in the setup scope.
