A useful starting point
A recurring checklist needs a new instance for each period. Copying last season’s completed document can make unfinished work appear done. Keep the reusable task definition separate from the record of this season’s work.
A worked example
For a hypothetical autumn opening checklist, create a fresh instance with a period ID, owner and due dates. Start every applicable task as pending. Preserve last year’s record for reference rather than editing it. Tasks that no longer apply need an explicit reviewer decision.
Implementation and review
Configure the trigger for the intended period and prevent creating it twice. Test a rerun after a connection failure and a revised template introduced mid-period. Your operations lead approves the active checklist. A trigger condition can narrow runs, but you still need a unique period key.

Measure the improvement
