Keep track of shared equipment without chasing staff

Use a simple checkout record to show who has an item and when it is expected back.

Make the handover easy

For shared tablets, tools or demonstration equipment, a short checkout form can replace messages asking who has an item. AI may summarize overdue items for the coordinator, but the underlying record should come from a real checkout or return event.

Identify the item consistently

Use an asset ID, person taking it, checkout time, expected return and condition note. Two identical tablets need different IDs. A return with a damaged charger should create a review task, not silently mark the whole kit ready. Avoid collecting unrelated personal information in the register.

Check the real status before reminding

The coordinator reviews overdue items against recent returns and extensions. Test duplicate submissions and an item handed directly between colleagues. Confirm that the form and register use the same asset IDs and that staff can correct a mistake. Start with internal reminders rather than messages to personal phones.

Assess whether the register pays off

Measure time spent searching for items, correcting records and following up overdue returns. Compare this with the time staff spend entering checkouts.
