Prepare a useful inbox handover before someone is away

Show the cover person which conversations need action without sharing an entire private mailbox.

Handover the work, not every message

An inbox cover brief should identify active business conversations and the next agreed action. AI can summarize selected threads for review. The owner decides what the cover person needs and which information should stay restricted.

Use a short handover record

Capture the customer or job reference, latest commitment, due date, next action and cover owner. An illustrative delayed delivery needs the promised update date and source thread, not the entire history of unrelated customer matters. Label unresolved questions so the summary does not imply an answer exists.

Verify access before the absence

The owner checks summaries and tests that the cover person can open necessary records through approved access. Avoid forwarding personal correspondence or sharing passwords. Confirm connector policies and mailbox permissions with your administrator. Test a reply received after the brief was prepared and a thread already resolved by another colleague.

Compare interruptions during cover

Measure preparation effort, clarification calls and missed commitments. Include ongoing review and permission administration in the cost, as well as setup and tool charges. Exovara can help connect approved business threads to a shared task view, with the employee choosing the appropriate scope and the cover person owning the next action.
