Agree what each row represents

Before connecting an agent, decide whether one row means a customer, job or invoice. Mixed meanings lead to incorrect updates. AI can help identify inconsistent entries, but the business needs a clear structure and a person responsible for approving corrections.

Create a small field dictionary

For each column, specify its meaning, allowed values and whether it can be blank. Give every record a stable ID. For an illustrative job tracker, separate customer name, job ID, due date and status instead of keeping “Smith next Tuesday maybe” in one cell.

Test controlled values

A dropdown can keep approved status names consistent. Keep free-form notes in a separate column and distinguish unknown from zero. Confirm date format and timezone before importing. Run a copied sample through the proposed flow and compare records one by one; do not clean the only live sheet in place.

Price the preparation honestly

Time the field mapping, corrections, duplicate review and staff training as part of setup. Add recurring connector and maintenance costs. Measure fewer failed updates and less retyping after launch.
