The decision to improve
Employees may stop suggesting improvements when ideas disappear into chat. An assistant can group submissions by the problem described and prepare a review list. It should not rate employees or equate the number of suggestions with performance.
A practical starting record
Capture the problem, an example, affected process, proposed change and submitting team. An idea to reduce duplicate entry should link to the two forms involved. Keep sensitive personnel concerns out of a general improvement board and use the appropriate private channel instead.
Review and tool fit
A manager decides whether to investigate, pilot or decline and records a short explanation. Use consistent status choices and an owner for the next step. Test two similar suggestions with different causes before merging them. Verify permissions and export options in the chosen form or list tool.
Excel supports dropdown lists; the workflow described is a proposal. Microsoft: create a dropdown list
Measure the real value
Track time from submission to a recorded response and the review effort required. Do not count every suggestion as a saving. Compare process maintenance costs with demonstrated improvements from completed pilots, including staff time spent evaluating ideas.
