A useful starting point
A purchasing checklist can compare a request with a supplier minimum and pack multiple. Keep those rules in a verified supplier table rather than asking AI to guess. The output is a proposed correction for your buyer, not an automatically enlarged order.
A worked example
If a hypothetical item is sold in packs of six, a request for eight needs a decision. Buying 12 may create unwanted stock; selecting an alternative may be better. Record requested quantity, ordering unit, minimum and the source of the rule.

Validated fields help separate pieces, packs and cases. Confirm that your purchase-order tool preserves the ordering unit on exports. Test an exception agreed with the supplier and a minimum that applies to order value rather than item quantity. The buyer approves the final choice.

Measure the improvement
Track rejected orders and clarification time. Do not count extra stock purchased to meet a minimum as a saving. Compare reduced administration with setup, maintenance and any carrying cost introduced by the revised order.
