Turn supplier updates into a useful delivery digest

Summarize changes without inventing certainty

A supplier digest should show what changed and where that information came from. It should not convert a tentative delivery estimate into a promise to a customer. Start with one supplier mailbox or approved folder and one daily review.

Keep original references attached

Capture the order number, shipment reference, supplier message date, stated delivery date and any qualification. In an illustrative update, 'expected Friday, subject to clearance' must retain that uncertainty. Conflicting dates should appear together for review instead of the assistant choosing the more convenient one.

Make the output actionable

Group entries as changed, unchanged and needs clarification. Assign unresolved questions to an operations owner. Link each summary to its source so the reviewer can check it quickly. Only staff-approved information should flow into customer-facing updates.

Check matching before adding integrations

Confirm that order references are available in both the supplier messages and your order system. Different punctuation or partial references need a tested matching rule. Do not match shipments only by customer name. If the data is poor, use the digest without changing live order records.

Measure time and missed changes

Compare the time spent reading updates and the number of important changes overlooked. Keep a sample of incorrect matches and unsupported dates. The business case includes the time to maintain supplier formats and review exceptions; a quicker digest is useful only if the team can trust its references.
