Keep the approved version identifiable

Before an assistant edits a business document, record which version is approved and who can approve a replacement. Work in a draft or copy when practical. A file that autosaves is convenient, but autosave alone does not tell staff whether the wording is authorized for use.

Try one controlled change

For a fictional staff procedure, ask the assistant to simplify the introduction without changing the numbered steps. Compare the result against the approved version. The reviewer should check that responsibilities, exceptions and references remain accurate. An attractive rewrite that changes the meaning should be rejected, even if spelling and tone improve.

Test the recovery path

Google Docs provides version history for inspecting earlier changes and restoring versions with appropriate access. Check the actual account and document before relying on that feature. Practise recovery on a copy, then compare the recovered text with the expected source. Check separately whether exported files or other editing tools retain their own usable history.

Handle changes made at the same time

If a colleague edits the document after the assistant starts, replacing the whole file may overwrite legitimate work. Ask the implementer how concurrent changes are detected. Prefer a proposed change or reviewed comparison when the tool supports it. The document owner decides whether to merge, reject or restart the edit using the current version.

Measure the complete editing job

Compare drafting plus review and correction time with your old approach. Include maintaining approved versions and occasional recovery tests. Faster first drafts do not help if staff spend longer repairing changes in meaning. Account for setup and software costs, and begin with a low-risk document before using the process on consequential policies or agreements.
