Replace scattered updates with a useful weekly digest

Summarize decisions and unresolved work without hiding the details managers need.

Choose decisions the report should support

A weekly digest should help a manager decide where attention is needed. If it only restates everything that happened, it adds reading rather than reducing work. Pick a narrow audience and agree which exceptions, deadlines and dependencies belong in the report.

Standardize the inputs

Ask each owner for completed work, blocked work, the next deadline and any decision required. Include the reporting period. Keep source links so a reader can inspect details. Missing updates should be labelled missing instead of being carried forward as if they were current.

Separate facts and proposed priorities

The assistant can group related issues and draft a summary. The manager should confirm priorities and check that a confident sentence does not hide uncertainty. 'Supplier has not confirmed' needs a follow-up owner, not an invented delivery date.

Keep distribution proportionate

Confirm permissions before combining information from several team workspaces. A manager's report may contain details that do not belong in the whole-company version. Use separate reviewed outputs where necessary and avoid copying sensitive source material into broad email lists.

Power Automate supports approval steps; confirm licensing and setup. Microsoft: workflow approvals

Measure reading and preparation

Record how long contributors and managers spend producing and using the digest. Track missed issues and repeated requests for clarification. A report that saves preparation time but is too vague to guide decisions has not succeeded. Budget for maintaining the template and checking sources.
