Keep an assistant from mixing currencies in a comparison

Before comparing supplier amounts, require a currency and pricing unit for every line.

A useful starting point

Before comparing supplier amounts, require a currency and pricing unit for every line. A dollar symbol alone may be ambiguous. AI can prepare a comparison table, but missing currency information should stop the calculation until someone verifies it.

A worked example

For a fictional comparison, keep CAD per item separate from USD per case. Record the verified currency, pack size and any approved exchange-rate source and date. Preserve the original amount. Without a verified conversion basis, show the options separately rather than ranking them.

Implementation and review

Validated currency and unit fields help prevent accidental mixing. Finance approves any conversion method used by the business. Test an invoice containing multiple currencies and a price stated per hundred units. Confirm your reporting tool preserves currency codes rather than only formatting every number with a dollar sign.

Excel supports controlled input values. The business workflow is an implementation proposal. Microsoft: data validation

Measure the improvement

Measure corrections and preparation time, including finance review. Do not describe a lower converted figure as a saving until equivalent terms are checked. Include implementation and ongoing reference-data maintenance in the value estimate.
