Ask for a translated reader copy, not just translated text
AI translation can help prepare another language version of a business brochure. Keeping that version ready to share also requires language review and a layout check in the final file. Start with one approved brochure and one target language. Ask for an editable draft, a reviewed reader copy and a record of unresolved items. A page that looks unchanged can still have a meaning error; a correct translation can still become unusable when a box hides the last line.
Identify everything that belongs in the translation
Give the provider the editable source when available, its approved revision, the intended audience and the required output format. Mark body text, headings, captions, tables, contact details, image text and any qualifications beside an offer. Identify brand names and references that should stay unchanged. Ask how text inside pictures will be handled rather than assuming it behaves like an ordinary paragraph. The related glossary guide covers approved terminology; this first scope also needs a map showing where each translated passage belongs in the brochure.

Use a page-proof record to keep nearby details together
For each page or panel, record the source passage, translated passage, visual location, language-review status and layout-review status. In a fictional two-panel service brochure, one panel describes what is included and a nearby note says materials are supplied separately. A longer translated heading must not push that note outside the visible panel or onto an unrelated page. In another case, an accurate caption sits under the wrong photograph after the layout changes. A third copy has a readable contact label but a link pointing to an older enquiry page. These are proposed review cases, not translated files we produced or tested.
Check meaning and the exported layout separately
Have a reviewer qualified in the target language compare the whole translation with the approved source, including exclusions and text within images. Then inspect the actual PDF or other copy customers will receive at a readable size. Look for cropped lines, overlapping boxes, broken tables, detached notes and the relationship between captions and pictures. Open ordinary links to check their destinations without submitting forms. If printing or a folded panel is part of the use, inspect that arrangement too. Correcting wording in the editable master does not establish that an earlier export has been replaced.

Try the translation feature already in your document tool
Microsoft documents Word creating a separate translated document through Review, Translate, Translate Document. Its guidance says the feature needs the appropriate Office version or subscription, internet access and connected experiences. Its Translator guidance also describes keeping links in a translated copy. That gives you an existing option to demonstrate with a suitable Word source. It does not replace the reader-copy checks above or establish the same behaviour for a scanned PDF, a design application or text baked into an image. Confirm the intended language, account, file and export before paying for another tool.

Price the complete revision and approval task
Ask whether the quote includes source preparation, translation, qualified language review, layout corrections, final export and the editable handover. Name the person who updates each language edition when the source changes. Compare the full effort for one approved brochure with your present method, including later corrections. Use the number of editions you actually need rather than counting every translated word as a saving. Include subscriptions, reviewer fees and design work; released staff time is capacity unless an expense actually changes. Exovara can help organize a small document workflow with clear files, review ownership and a usable handover.
