Use AI to prepare the comparison for a buyer
AI can help prepare a comparison of received supplier quotes, but a lower headline total does not establish a better offer. Start with the work or items your business actually needs. Ask for quoted inclusions, exclusions and unanswered questions beside the original evidence. A staff member checks the comparison and decides what to clarify. A spreadsheet may be enough for a few simple offers; AI is worth testing when varied document wording creates repeated reading and copying work.
Write the requirement before looking at the totals
Consider an invented purchase of an equipment inspection, a written report and an on-site staff walkthrough. Offer A is $900 for the inspection and report, with the walkthrough excluded. Offer B is $1,100 and explicitly includes all three. Offer C is $1,000 and says a walkthrough is available without stating whether it is included. These are fictional figures, not market prices. The $900 and $1,000 offers cannot yet be treated as cheaper ways to obtain the same three deliverables. Ask about the missing scope and charge before calculating a comparable total.
Build a requirements-and-inclusions worksheet
Give each required deliverable a row and each offer a column. Record included, excluded or unclear; the source document and version; the page or passage; any stated charge; and the clarification needed. Keep the original description beside a proposed common label so staff can check whether the work really matches. In the example, the walkthrough row exposes two questions immediately. Keep tax treatment, quote expiry, timing and other stated conditions in separate fields. Do not insert a zero for an unstated charge or silently assume that similar-sounding services are equivalent.
Ask for evidence and gaps, rather than a winner
A starting instruction could be: "Using this requirements list, draft the worksheet from these approved quotes. Identify the supporting passage for each entry. Mark absent or ambiguous information as unclear and draft questions for our buyer. Do not infer missing fees or recommend a supplier." Google documents file uploads and questions about their contents in Gemini Apps. That capability is not a guarantee of a complete purchasing comparison. Confirm the supported files, account access and limits, and use only documents your business has approved for that tool.

Check each entry and return unanswered questions
Have staff open every cited passage, verify the amount and included work, and recalculate comparable totals in a spreadsheet after missing charges are confirmed. Google warns that content beyond the available context window can be missed, particularly when details are scattered through large files. Try one short set first and compare the AI draft with a manual review. Keep a supplier clarification as a dated addition linked to the original offer. A newer quote should trigger a fresh check of affected rows; an old answer should not quietly carry forward.
Supports the possibility of missing details when uploaded content exceeds the context window. All evidence references, extraction and arithmetic still require staff checking. Google: file and context limits can affect completeness
Measure preparation effort without inventing savings
Count complete comparisons and the minutes needed to prepare, verify, clarify and correct them. Include the cases returned to manual work. Compare that effort with your current spreadsheet process, then include setup, tool usage and ongoing support costs. A flagged price difference is not money saved until the required scope and actual purchase are established. Faster preparation may release staff capacity without changing payroll. After a purchase, the related price-variance guide addresses a different task: checking an invoice against agreed prices.

Keep the buying decision with authorized staff
The checked worksheet is a decision aid, not approval to order. Staff still assess suitability, availability and the meaning of conditions, with specialist help where needed. A sensible first project produces the worksheet and clarification draft for one repeated purchase type, with ordering outside its scope. Exovara can review that process, test whether AI adds value over a simpler template and scope the useful document handling and staff review steps before you commit to a larger system.
