Can AI help flag duplicate supplier invoices before payment?

Check the duplicate warnings in your existing bookkeeping tool first. Ask for a reviewable evidence list that keeps original bills, payment status and staff approval together.

Begin with the bookkeeping tools you already use

AI can help prepare invoice information for a duplicate check, but a flagged pair needs review before anyone changes the books or payment list. Start by asking your bookkeeper to demonstrate the duplicate warnings already available in your accounting software. A new assistant may be useful for collecting scattered documents or highlighting missing information. The first deliverable should be a reviewable list of possible duplicates, not automatic deletion or payment approval.

Define what information the reviewer needs

Agree the supplier identity, document type, original invoice reference, invoice date, amount, currency and linked source files. Include the relevant existing bill record and its recorded payment status where staff can verify them. Keep the original text beside extracted fields; a supplier name or similar filename is not enough to establish that two charges are the same. Decide who reviews a warning and how an unresolved case stays visible. Use approved sample documents and access limited to the task.

Try three fictional pairs before relying on the warnings

In the first pair, Supplier A invoice F72 for CAD 450 arrives as a PDF and later as a photograph of the same invoice. The review should bring both sources together as a possible repeat. In the second pair, the same supplier bills CAD 450 for two different service periods: equal amounts alone do not establish duplication. In the third, an invoice and a credit note share a reference; their document types must remain distinct for the bookkeeper. These are written review cases, not invoices we processed, accounting conclusions or payments we prevented.

Keep the warning separate from the accounting decision

For each flagged pair, show the record references, both originals, fields that matched, differences, existing payment information and the reviewer decision. Check the actual documents rather than relying on a confident summary. If a document is unreadable or the supplier identity is unclear, request the missing evidence. Your bookkeeper decides how to treat the records; an assistant should not silently merge, void or delete them. A price difference from an approved order is another review question, not proof of a duplicate.

Compare native checks with an added workflow

Xero's Canadian accounts-payable page describes draft-bill capture, roles for creating and approving bills, and automatic duplicate flags. Its accounts-payable guide includes duplicate invoices among the issues staff should check when reviewing supplier documents. Those are existing capabilities and review principles to discuss with your bookkeeper, not evidence that every duplicate will be caught. Confirm the current plan, permissions, records covered and actual warning behaviour in your account. Do not add another bill-creation route without demonstrating how it avoids entering the same source twice.

Measure resolved cases and review effort

A focused scope can include the source-document list, agreed comparison fields, warning queue, reviewer decisions and instructions for unresolved cases. Test both a likely repeat and a legitimate similar bill. Compare collection, checking, false alarms and corrections with the current process, using your actual invoice volume. Do not count every warning as money saved. Include setup, software, document processing and ongoing maintenance; time released is staff capacity unless an expense changes. Exovara can help organize the evidence handover while your bookkeeper retains accounting decisions and authorized staff retain payment approval.
