Can AI write a spreadsheet formula your team can check and reuse?

Write the business rule and expected answers before accepting an AI-generated formula. Ask for a checked workbook, clear exceptions and an editable handover.

Start with the rule, then ask for a formula

AI can help draft a spreadsheet formula, but a plausible-looking calculation is not enough to approve it. Write down the business rule and a few expected answers first. Ask the person setting it up to demonstrate the formula in a copy of your actual workbook. The useful deliverable is a calculation your team can inspect, correct and maintain, not just a line of text pasted from a chat.

Make the calculation brief specific

Name the input columns, units, approved thresholds and required output. State how blanks, invalid entries and boundary values should behave. Identify the person who approves the rule; the assistant should not decide your prices, deadlines or eligibility conditions. Keep the original workbook and explain which cells the provider may change. A calculation for one row also needs an agreed way to work for the next row and for new records added later.

Use six expected answers as a first review exercise

Consider a fictional delivery-charge rule: a valid non-negative distance up to and including 15 kilometres gives a charge of CAD 8; a distance above 15 gives CAD 12. A blank, negative number or non-numeric entry must show Needs review instead of a charge. The six expected cases are blank: Needs review; 0: CAD 8; 15: CAD 8; 15.1: CAD 12; -1: Needs review; nearby: Needs review. Zero is deliberately different from missing information. These are written acceptance examples for an invented rule, not pricing advice or an Excel formula we created or tested.

Check the formula in the workbook it will serve

Have the provider run those cases in a disposable copy and compare every result with the agreed list. Add cases from your real work, including the units and number formats you actually receive. Change an input and confirm that the output recalculates. Check a copied row and a newly added row; the formula must still use the intended inputs and approved rule values. Ask the provider to explain each condition in plain language. An explanation generated by the same assistant is useful for discussion, but it is not an independent check of the results.

Use existing spreadsheet tools before buying a larger system

Microsoft documents Copilot in Excel suggesting single-cell formulas and calculated columns or rows, with explanations, and tells users to review and verify the output. Its ordinary IF guidance describes returning different results after a condition is tested. These are possible tools for implementing an agreed rule, not a reason to add an AI subscription to every workbook. Confirm the actual account, app, available features and formula compatibility in your environment. Keep invalid results visible for review rather than making an error look like a successful business outcome.

Ask for a maintainable handover

A focused scope can include the calculation brief, checked workbook, expected-result cases, explanation, editable rule values and instructions for future changes. Agree who approves a changed threshold and reruns the checks. If an automation will write into the sheet, test that connection separately and protect the calculation area from accidental replacement. Compare rule preparation, checking, corrections and maintenance with the present method, using your actual monthly workload. Include setup and software charges; count staff time released as capacity unless an expense changes. Exovara can help scope one calculation and its review process.
