AI video captions: should they be in the video or a separate file?

Choose the caption deliverable before buying AI video help. Compare always-visible text with a separate timed file, then check the actual player and final video.

Choose the viewing destination before the caption tool

AI can draft captions, but the useful deliverable depends on where people will watch your video. Text made part of the video picture stays visible. A separate timed caption file needs a player that supports it and may let viewers turn captions on or off. Ask the provider to demonstrate the intended destination before quoting the work. You may need two versions rather than one file that is assumed to work everywhere.

Prepare one finished clip and a delivery record

Start with a short, approved clip and its final edit reference. Supply the correct spelling of names, product references and any wording the reviewer must check closely. Confirm permission to upload the media to the proposed account. For each destination, record the audience, accepted caption format, whether captions should be switchable, who uploads them and who checks the result. Editing the video later can change the timing, so keep the caption version tied to the video version.

Compare three fictional delivery cases

In this proposed review exercise, an internal portal accepts a separate SRT caption file and offers a caption control: test the video and file together, including switching captions on and off. A display at an event has no agreed way to load captions separately: request a sample with text included in the picture. A third destination adds its own automatic captions while the video already contains text: check for two overlapping copies. These are invented destination assumptions and checks, not platform capabilities or uploads we have tested.

Check wording, timing and the actual viewing size

Review the complete caption text against the audio, including important sounds and speaker information needed to follow the content. Check names and quantities, then watch whether each passage appears at the right moment and remains readable. Inspect the intended phone-sized or display view so text does not cover useful information. W3C explains the difference between switchable closed captions and always-visible open captions, and treats automatic transcription as a starting point requiring accuracy review. Choosing a delivery format does not establish that the captions are correct or that all accessibility needs have been met.

Try the export options in your existing editor

Microsoft documents editable autocaptions and SRT downloads in Clipchamp, alongside options to hide captions in the video. That offers a starting point for demonstrating separate-file and visible-text deliveries. Confirm the features, language, permissions and charges in your actual account, and the format accepted by the destination. Downloading an SRT file does not attach it to every copy of the video. Inspect an approved sample in the actual player, rather than accepting only the editor preview. Generating new narration is a separate scope from caption delivery.

Ask for an updateable handover

A focused quote can include the approved video, corrected timed captions, any version with text in the picture, the editable project and the destination review record. Agree how a later cut or wording correction updates each copy. Compare transcription, correction, export, upload and checking time with doing the short clip manually. Include software and ongoing revision costs; released staff time is capacity unless an expense changes.
