Does sharing your business documents train an AI assistant?

Understand the difference between giving AI a reference file, connecting a searchable library and training a model before approving a setup.

Ask what the provider means by training

Sharing a business document does not, by itself, establish that a model has been trained on it. An assistant can receive relevant text while preparing an answer without changing the underlying model. Microsoft describes retrieval-augmented generation as a way to make business information available without first training the model on it. For a first AI project, ask the provider to show where the information is kept and how it reaches each answer.

Separate three things you might be buying

A reference file gives a chosen tool material to use in a particular task, subject to that tool's actual features. A connected knowledge library searches approved material and supplies relevant passages when a question arrives. Model fine-tuning is a different process for changing behaviour or task performance. Microsoft distinguishes retrieval for private or changing information from fine-tuning for behaviour and style. These can be combined, but calling all of them training makes a proposal harder to compare.

Supports the retrieval/fine-tuning distinction. A specific product's file, update and memory behaviour must be demonstrated separately. Microsoft: retrieval and fine-tuning serve different needs

Try an example with an answer that changes

Imagine a fictional service business with a current customer leaflet. Version one says equipment collection is available on Friday. Version two changes that to Thursday. Ask the provider which version a new answer would use after you replace the leaflet, how long that change takes to become available and how staff can check it. This is a proposed demonstration, not a feature promised for every AI product. The question reveals whether the setup uses a one-time copy, a refreshed library or an unverified assumption about memory.

Make a source-to-answer card

For that leaflet, record the approved file location, version, person allowed to change it, route into the assistant and expected update delay. Add one test question and the passage that should support its answer. Then record what should happen if the passage is missing. Your card might say: answer the collection-day question from the current approved leaflet; show its version; ask staff if no current source is available. The provider should demonstrate those conditions in the chosen setup rather than simply describe them.

Do not mistake a correction for a saved business rule

Telling an assistant that Thursday is correct may improve the answer in that exchange. It does not prove that a colleague starting a new exchange receives the same correction. Test again in a fresh conversation and through the ordinary staff account. Ask where a lasting correction belongs: an approved source, saved instructions or another managed setting. For this example, update the leaflet through its normal approval process so people and the assistant have the same reference.

Check the source as well as the sentence

A source-backed answer can still be wrong if the wrong passage was retrieved or relevant text was missing. Microsoft documents these limits of retrieval-based systems. In the proposed leaflet test, check the answer, version and supporting passage together. Include a question the leaflet does not answer and an older copy with the previous collection day. Decide which material is approved for the intended audience before the trial; access to a library should be demonstrated using that audience's account.

Buy an update process your team can explain

A useful proposal says who updates the source, how the assistant receives changes, how staff report corrections and who tests the result. Keep the distinction between a reference setup and model training in the written scope. The technical meaning of training is also separate from the provider's data-use and retention terms, which need checking for the exact account and product. Exovara can help map one approved document to a useful staff task and test how updates affect answers before proposing a wider system.
