How can we keep customer details out of help guide screenshots?

Start with a practice record, review what a cropped screenshot still reveals and check the exact image and help page before sharing.

Decide what the reader needs to see

If a help guide explains where to find a status, the reader may only need the status label and the control beside it. Create the screenshot in an approved practice account with invented records where you can. Open the exact screen the guide describes, close unrelated windows and capture the smallest area that still shows the necessary steps. An AI helper may flag potential details for review in an approved environment. A clean practice capture often saves the effort of reviewing and removing real details.

Inspect the parts of the screen outside the instructions

Look around the intended focal point. Browser tabs, the address bar, notifications, avatars and adjacent rows can all reveal details unrelated to the step. Check what the selected area still contains at full size. When a real image is necessary, keep the original in its restricted location and work from a copy. Use your organization’s approved method for removing information from the released file. The National Archives describes the underlying principle as permanent removal from the released copy, including information beyond what appears on the screen.

Test a fictional status example

Suppose a guide shows “Ready for review” beside a sample quote. In the first candidate, cropping the page removes the sidebar but leaves a customer reference beside the status. The reviewer holds that image and makes a fresh capture using the invented reference Q-042. In the second candidate, a dark shape covers a detail in an editable project. The reviewer keeps that project restricted and requests the approved export for inspection. In the third candidate, the visible image is clean but the upload filename contains a real account reference. Replace the filename before approval and verify the asset actually selected on the page.

Use text detection as one check

Microsoft documents text recognition in Snipping Tool and a Quick redact option for email addresses and phone numbers. Its guidance says recognition runs locally. Check feature availability in the version your team uses. Look for details outside those two patterns, including names, order references and any customer-specific codes in the image. Inspect small text and icons yourself. If a customer portal code appears, make a clean capture that leaves it out. Keep the screenshot on approved tools throughout the review.

Review the saved image and the page that uses it

Open the exact file you plan to share at full size and check the entire image against the approved scope. Use the format and inspection method your organization requires for the sensitivity of the material, including checks for hidden information where applicable. Review the filename, visible caption and text alternative as well. If the guide is already in a test environment, view it with the intended audience’s access. Check that the image opens the approved copy when selected and that any old asset still referenced by the guide goes back to the owner for review.

Make the handover easy to repeat

For each image, record the guide step, capture source, approved output, reviewer and destination. Ask the provider to show how the person who maintains the guide can replace the image after an interface change. Compare the time to create and verify a practice capture with the time to review and prepare a real screenshot. Include tool and maintenance costs if you need new software. Exovara can help set up the capture and approval process for one guide before your team expands it.
