Keep corrections useful and limited
When a bookkeeper repeatedly corrects suggested expense categories, record the reason and the conditions where the example applies. An assistant can retrieve approved examples for the next similar record. It should continue presenting suggestions for review rather than deciding tax treatment.
Store the context behind the category
Use the supplier, purchase description, business purpose supplied by staff, approved category and reviewer explanation. A store selling both tools and refreshments is a good test: the supplier name alone cannot determine the category. Keep ambiguous receipts in a question queue instead of guessing the purpose.
Approve changes to the example library
The bookkeeper decides whether a correction is a reusable pattern or a one-time exception. Date the example and retire outdated guidance. Confirm your accounting export can preserve reviewer notes without automatically posting changes. Track the right error rate
Measure suggestion acceptance and correction time by type of purchase, not just overall accuracy. Include questions that still require staff answers.
