A total can disagree with the numbers visible above it without a missing row. A spreadsheet may display two decimal places while retaining more digits for calculations. Before asking an AI assistant to correct a difference, inspect the underlying values and formulas. Preserve the original report. The aim is to explain the difference, not force two totals to match.
Decide when rounding happens
Consider two hypothetical calculation results of 1.234 each. Rounding each to two decimal places gives 1.23 plus 1.23, or 2.46. Adding the original values gives 2.468, which rounds to 2.47. Neither calculation describes the other's sequence. Document whether the approved process rounds individual amounts or only a final total. The person responsible for the report must choose the rule appropriate to its purpose; an automation should not invent it.
Keep display formatting separate from calculation rules
Microsoft distinguishes changing displayed decimal places from rounding a value in a calculation. Its guidance also warns that the Set precision as displayed option can cause cumulative inaccuracies. Avoid treating a workbook-wide precision change as a quick cleanup. A reviewed rounding formula in a separate calculation column makes the intended step easier to inspect while retaining original inputs.

Build a small difference report
Keep the record reference, original amount, calculated amount, approved rounded result and comparison total together. Separate rounding differences from missing records, unexpected currencies and incorrect quantities. Do not hide every small discrepancy with a tolerance setting. A repeated small difference can still reveal the wrong calculation sequence. Record the reason for accepting or correcting a difference, and route unexplained cases to the report owner.
Test both directions before connecting tools
Use known examples with extra decimal places, negative adjustments, zero and several small rows. Write expected results before running the workflow. Compare the exported file with what the destination actually imports, since different tools may apply different defaults. Do not replace historical values merely because a new calculation rule produces another answer. Review whether a correction is needed and preserve the original evidence.
Give AI the explanation work
Use ordinary calculations for the approved arithmetic. An assistant can summarize flagged rows, explain which step caused a difference and prepare questions for review. It should not silently change prices or approve financial adjustments. Begin with one recurring internal report. Measure investigation time, unresolved differences and maintenance effort before expanding. A clear rounding rule may solve the problem without a custom integration.
