Try a mail merge before a new AI workflow
Often, a regular document tool is enough when your address list already has consistent columns. Mail merge places the fields from each selected record into a repeatable document layout, including labels. AI help may be useful for explaining a confusing source list or preparing questions about missing fields. It should not guess an address or decide which customers belong in the run. Ask for a small demonstration using your existing software before paying for a connected system.
Agree the source list and the physical output
Prepare an approved copy of the address list with a clear record reference, recipient name, address lines and postal code. Decide which records are included and record that selection separately from the total row count. Keep original text available for comparison and hold incomplete addresses for staff review. Identify the exact label product, sheet size and printer you intend to use. The useful handover is the source copy, field map, reusable label document and reviewed print proof, not simply a screenshot of one successful label.
Check four selected records from a six-record sample
Use six fictional records, A01 to A06, with only A01 to A04 approved for the exercise. A02 includes Suite 4, which must remain on its label. A03 has no second address line; it must not acquire the word None or a guessed unit. A04 has a long company name that needs a fit check. A05 and A06 must not appear. Compare every proposed label with its source reference in the internal review record. The expected result is four correct labels, each once. This is a written acceptance exercise, not a merge or print run we performed.
Demonstrate the ordinary tool options
Microsoft documents using an Excel address list with Word mail merge. Its preparation guidance covers matching column names to fields and checking postal-code formatting before connecting the sheet. Its label instructions include choosing the vendor and product number, repeating the label layout and previewing the merged results. Ask the provider to demonstrate those steps in your actual Word and Excel editions. A clean-looking spreadsheet is not proof that the values reaching the label are unchanged. Treat reference strings carefully rather than allowing an assistant to repair them from appearance.

Review the whole proof before using label sheets
Inspect the first and last selected records, then each label between them for missing lines, repeated recipients, unexpected exclusions and clipped text. Confirm the selected count against the source copy. Ask for a plain-paper alignment test using the intended printer settings before committing label stock. Recheck the output after changing a field or layout; fixing one label in a preview does not demonstrate that the reusable document was corrected. The address list still needs its own owner to confirm it is current.
Buy a repeatable preparation and checking process
A focused quote can include source cleanup, the field map, reusable document, selection instructions and a short staff walkthrough. Compare list preparation, proof checking, corrections and printing effort with the current manual method. Include software, setup, label waste and later support, using your own run sizes. Released staff time is capacity unless an expense changes. Consider a connected workflow only when frequent runs justify maintaining the data connection and review step. Exovara can help define and test that small scope around the tools your team already uses.
