Do you need to scan your whole archive before getting AI help?

Separate the records a first AI task actually needs from a larger scanning project. Try a small paper-to-draft workflow before committing to an archive conversion.

Choose the task before choosing how much to scan

You may be able to start with current work and a small set of approved references. Whether older paper records are needed depends on the task. Preparing today's internal job summary is different from answering questions about years of past jobs. Ask your provider to name the documents each proposed output depends on. Pennsylvania State Archives uses factors such as retrieval frequency and preparation effort to help prioritize scanning. That is a useful planning principle, not a Canadian records requirement.

Draw a boundary around the first job

For a fictional repair office, choose a draft handover from today's job sheet. The input is a legible copy of that sheet plus the current approved handover format. The output is a proposed internal summary for a coordinator to check. Historical files enter the trial only when the chosen job needs a previous service detail. Keep existing records in their normal storage throughout the trial and retain a reference to the source sheet. This scope lets you test current preparation without pretending that historical information is already searchable.

Make a document dependency card

Write down the desired output and list each required source beside it. For each source, record where it lives, whether it is current, who approves its use and what the task should do when it is missing. The card for the sample handover could require today's sheet and an approved template, while previous service information is requested from staff only for jobs that need it. If every job regularly depends on older files, include a targeted retrieval or digitization stage in the quote. If the dependency is unknown, investigate it before agreeing the scope.

Try the actual paper formats

Select approved examples representing a clear sheet, a faint copy, handwriting, an attached page and a job needing historical context. You can create fictional versions for an initial demonstration. Have the implementer show the source image, proposed draft and missing-information route for each. A familiar option, Google Drive, converts PDFs and photos to text, but its documentation warns that table and column structure may not transfer. Check the chosen tool and account with the real layout; a readable document does not automatically become a reliable business record.

Separate current intake from historical retrieval

The trial should answer two questions: can staff prepare current work more easily, and which older records are repeatedly needed? For current intake, compare scanning the existing sheet with entering the necessary details in a short form. For historical retrieval, record the document types requested and the effort to locate them. Do not mix a proposed new intake process with a claim that the archive has been converted. Ask for separate scope, checking and costs if both jobs are needed.

Include scanning and checking in the value estimate

Here is an illustrative comparison. Ten handovers taking six minutes each use sixty staff minutes. If the assisted route takes two minutes to capture the sheet, one to prepare the draft and two to check and correct it per job, that is fifty minutes. Add ten minutes of weekly file organization and monitoring, and the weekly time benefit is zero. A faster capture method might change the result; measure it. Include setup, equipment, processing fees and any archive work separately. Returned time is staff capacity, not automatically cash saved.

Approve a small scope with an honest boundary

A practical first quote identifies the document types, current-work start point, required reference files, reviewer and route for missing older information. Ask the provider to demonstrate the agreed cases before expanding. The linked scanned-document guide explains how to check extracted fields once the scope is chosen. Exovara can help test one paper-based task and decide whether better intake, a limited document conversion or a larger retrieval project is justified. You do not need to commit to scanning every file to have that conversation.
