Get receipts ready for your bookkeeper with less chasing

Organize receipt collection and missing information while keeping accounting review in place.

Help the bookkeeper start with better records

The useful first task is collecting and preparing receipts, not asking AI to act as your accountant. Keep the original document, extract proposed fields and let the bookkeeper review them. This can reduce repeated requests for clearer images or missing business context.

Create one collection route

Choose an approved upload location and record the supplier, date, currency, total and reason for the expense. Give every receipt a reference. Keep a status for unreadable, missing information, ready for review and reviewed. A photo of a card terminal slip may need an itemized receipt before it is useful.

Check before creating anything

Have the reviewer compare the draft with the receipt and look for an existing transaction. A duplicate image must not create a second expense. Mixed personal and business spending, refunds and ambiguous tax details go back to the bookkeeper. Do not infer tax treatment from a merchant name.

Use what your accounting tool supports

Check the receipt and matching functions in the version of the accounting product you already use. A shared folder can improve collection without a direct bookkeeping integration. Confirm access permissions and retention arrangements before sending financial documents to another service.

Measure preparation rather than tax outcomes

Compare the time spent collecting missing documents, correcting extracted amounts and preparing the monthly handover. Count duplicates and unreadable files. Factor software fees and review time into the business case. The result should be a clearer review queue, not a promise of tax savings.
