Give staff an accurate list of stock dates needing attention

A useful starting point

A batch-date register can highlight stock approaching a date supplied by the manufacturer or your approved process. Keep dates tied to specific batches. The workflow should not infer product safety, extend a date or decide disposal automatically.

A worked example

For hypothetical non-food stock, record item ID, batch reference, quantity, printed date and storage location. Two batches of the same item may need different actions. An unreadable label becomes a verification task, not an estimated date.

Implementation and review

Validated date fields reduce inconsistent entries but cannot verify the physical label. Staff confirm batch identity and decide handling under the applicable product instructions. Test a date entered in the wrong regional format and stock moved between shelves. Check whether your existing inventory tool supports batch records.

Measure the improvement

Track time spent finding affected stock and correcting records. Count physical checks and false flags in assisted time. Do not assume all approaching-date stock would otherwise be wasted. Include setup, subscriptions and ongoing batch-entry work in the comparison.
