Use an exception list
A timesheet check can flag incomplete job references, overlapping entries or missing submissions for staff to resolve. It cannot know how long someone actually worked. Keep pay calculations, employment decisions and final approval in the established payroll process.
Define the expected records
Use the reporting period, employee reference, submitted entries and approved task or job codes. Distinguish no submission from a confirmed zero. For an illustrative entry with a finish time before its start time, ask for clarification rather than automatically changing the date or adding hours.
Have staff correct their own evidence
Prepare a concise list of missing fields for the responsible person and retain the original submission. A supervisor reviews corrections before payroll handover. Confirm your timekeeping tool can export revisions and whether an overnight shift uses a separate date. Avoid gathering location data simply to fill gaps.

Measure questions resolved on time
Track preparation minutes, clarification loops and corrections caught before handover. Include employee and supervisor time when comparing the new process.
