Start with one quote that runs onto a second page
Use Word’s repeating table headers to keep column labels visible when a long quote flows across pages. AI can help draft clearer labels or flag a row that is hard to read. The Word template controls which labels repeat. Before buying a quoting workflow, try fixing one editable quote that your team already uses and opening the resulting PDF as a customer would.
Decide what a reader needs on a continuation page
Start with the approved quote template and a sample with enough lines to span at least two pages. Record the quote revision, column labels, required page size and who checks the amounts and layout. Identify which rows are headings, which are billable lines and where the totals belong. If a row uses a short label such as “Allowance,” have the quote owner confirm the wording. Keep the item description and the quantity, rate and amount labels easy to tell apart.
Let the table flow and set the heading rows once
Microsoft documents how to mark the top row or rows of a Word table to repeat. The selection must begin with the first row of the table. Word repeats the headers at automatic page breaks, and you can check the result in Print Layout or when printing. A manual page break inside the table prevents the header from repeating at that break. If a section needs a forced start on a new page, consider a separate table with its own heading and check that layout. Confirm the controls in the Word edition your staff use.

Try an extra line and a longer description
In a fictional quote, twelve line items originally fit on one page. When you add a thirteenth line and it flows onto page two, expect the same headings above it. Then lengthen item twelve in a test copy and check whether its description splits across pages. Word has a row setting for allowing that split. If a short item is easier to read as a unit, try keeping its row together and check where it lands. Look for excessive blank space or a total that has become hard to associate with the line items. These are review cases you can run with a sample quote.

Check the editable quote and the copy the customer receives
Rename a test column in the first header and confirm the later header reflects it. Scan every page of the PDF separately for missing labels, clipped text and line items that are hard to follow. Match the number of billable lines and the final amounts to the approved quote. Repeated headings should add context without duplicating any billable entries. Keep the approved editable revision beside the PDF so a later correction starts with the right file.

Decide whether the template solves the whole problem
Ask for the editable template, a two-page example and a short check staff can repeat after adding or editing rows. Compare the time staff spend fixing page breaks and checking exports across a typical month. Include template maintenance and review in the estimate. If the remaining work is retyping approved prices from another system, scope that data transfer separately. Exovara can help set up a quote workflow around the template and the approval steps your staff need.
