Separate choosing the contents from joining the files
AI can help prepare a document list or flag unanswered questions, but your team should decide which material the client receives. If approved files and their order are already settled, an ordinary PDF combiner may do the job. Start with one small pack and ask for a page manifest: a list connecting each part of the finished PDF to its approved source. A polished cover or a successful save does not establish that the right pages are inside.
Give each included page a clear source
Record the source file reference, approved version, pages to include, intended position and reviewer. List excluded drafts explicitly, especially when similarly named files share a folder. Keep the approved originals and create the combined output as a separate file. A provider should not select a newer-looking document merely because its modification date is later. Deciding whether a project has all its required records is a separate completeness review; this exercise begins after staff have selected the pack contents.

Build a four-page manifest from two approved sources
In a fictional example, Overview version 2 contributes source pages 1 and 2 to output pages 1 and 2. Specification version 4 contributes source pages 2 and 3 to output pages 3 and 4. An old price sheet is excluded. The expected output is four pages in that exact order. Four pages alone are insufficient evidence: repeating the overview twice would produce the same count. Check each output position against the source and manifest. These are written review cases, not documents we combined, converted or sent.
Compare an ordinary combiner with added assistance
Adobe documents Acrobat combining PDFs and supported Office files, with previews and page-order controls before saving a single PDF. Its guidance also describes settings that can continue after a conversion error and skip a file. A saved output therefore needs reconciliation against the manifest. Confirm the actual app, account, file types, settings and charges in your proposed process. Keep the source files; do not enable an option that deletes originals as part of this exercise. A separate file bundle or portfolio is a different deliverable from the single sequential PDF the client requested.

Inspect the finished file as the recipient will see it
Open the saved PDF separately from the assembly window. Compare every page with the manifest, including orientation, readable small text, the beginning and end of each source, and any blank or repeated pages. Where Office files were converted, check the resulting layout against the approved source view. Test required links, bookmarks or interactive features in the intended viewer rather than assuming they survived. Return an omitted or unreadable source to the reviewer instead of silently sending a smaller pack. Preserve a clear final revision and its approval.

Scope the handover around repeatability
Ask for the manifest, approved input references, editable assembly instructions, final PDF and unresolved exceptions. Agree who authorizes replacements and repeats the checks when a source changes. Compare collection, assembly, conversion, review and correction time with the current process. Include software, storage, setup and maintenance; time released is staff capacity unless a cost actually changes. AI may help describe exceptions, but it is not needed to join every pair of PDFs. Exovara can help define a traceable document workflow before connecting it to live client records.
