Use the summary to find the next question
An email summary can help staff orient themselves, but a shorter thread is useful only if it preserves the details needed for the next action. Before buying AI help for your inbox, test a customer who changes their request during a conversation. Define the output as a reviewable action card with source links. Staff can then check the latest quantity, requested timing and unanswered question without treating the summary itself as an approval.
Start with a feature your team may already have
Microsoft documents email-thread summaries in Copilot for Outlook. The summary may include numbered citations that open the corresponding message. In supported Outlook versions, attachment summarization is available as a separate file-summary action. Check the account, licence and version you actually use before assuming these features are available. A thread summary does not, by itself, establish that an attachment, another conversation or a phone update was included. Ask the implementer to show the information covered by the proposed setup.
Current primary Outlook documentation checked October 14, 2026. Availability depends on the actual account and supported version. The three-message exercise and action card are original proposed tests. Microsoft: email-thread summaries, citations and file summaries
Try a three-message change of plan
Use this fictional exercise with harmless messages. First, the customer asks for two replacement filters. Your office replies that the model number is needed before a quote can be prepared. The customer then changes the quantity to three, supplies the model number and asks whether collection on Friday is possible. A summary saying two filters for Friday collection fails twice: the quantity is outdated and the date was requested, not confirmed. The useful next task is to check the supplied model, prepare the three-filter quote and answer the collection question.
Make the action card easy to verify
For that exercise, record the job or enquiry reference, latest requested quantity, supplied model number, requested collection date, unanswered questions and source message for each field. Give confirmed arrangements their own field. Here, Friday belongs under requested timing, while confirmed collection remains undecided. Keep the latest customer message and the office response accessible beside the card. Do not let a confident sentence hide an unresolved field. The reviewer checks the card before preparing a quote or sending an answer.
Test information arriving outside the thread
Add a second harmless example where a colleague records a phone change in the job system, or the customer starts a new email. Ask whether the proposed summary can see that record and reliably associate it with the same enquiry. If it cannot, keep that check manual and show the limit in the handover. Use a stable reference where your tools support one; a matching customer name alone is not a demonstrated link. Decide who corrects the card when another message arrives after it was prepared.
Measure reading plus checking
For illustration, ten comparable threads taking six staff minutes each use sixty minutes. If the assisted route takes one minute to prepare or retrieve the summary and three minutes to check the important details per thread, it uses forty minutes. Add five minutes of shared maintenance and the assumed capacity benefit is fifteen minutes weekly. Include threads needing a complete manual reread and use your own figures. Setup, recurring software fees and support are additional costs. Shorter reading time is not a benefit if missing details create extra work elsewhere.

Buy help with the actual handover
If the existing summary already meets the task, focused staff practice and a simple action-card template may be enough. Consider a connected workflow when reviewed details need to reach a job record or staff queue, after testing the exact supported actions and account permissions.
