Can AI show what changed between two business document versions?

Get a comparison you can trace back to both files

AI can help explain a set of document changes, but a fluent summary is not proof that every difference was found. If you receive two versions of a staff procedure, begin with the document application's comparison tool. Ask for a separate comparison file and a short change list with references to both inputs. The first question is what changed; deciding which version staff should use comes afterwards.

Identify the exact pair before running a comparison

Record each filename or document link, revision label and the intended original-to-revised order. Keep separate copies of both inputs. Check whether either contains unresolved suggestions, comments or tracked changes, and agree how those should be treated. Do not assume the file received last is the approved original. Choosing an approved template is a separate decision. This review concerns differences between two selected files, rather than recovering an earlier state from one document's history.

Make a change list with evidence and a decision owner

For each difference that matters, record its location, the exact old passage, the exact new passage, a proposed explanation and the person who will decide its effect. Keep wording evidence separate from the explanation. An AI assistant can draft plain-language notes from that comparison, but a reviewer should check each note against both passages. Mark anything it cannot locate as unresolved. Keep the full comparison available so a short summary does not become the only evidence staff see.

Try three differences with different consequences

In a fictional visit procedure, Notify the office before the visit becomes Notify the office after the visit. The changed word reverses the timing. A separate edit changes Bring two blank sheets to Bring three blank sheets, changing the quantity. A third moves an unchanged contact paragraph to the first page. A useful change list distinguishes timing, quantity and placement instead of calling everything minor wording updates. Check the moved paragraph's surrounding instructions too. These are written review cases, not results from a document comparison we ran.

Check what the chosen application actually compares

Microsoft documents Word for Windows comparing two files into a new document by default, with options for text, formatting and comments. Choosing an original or revised file as the output instead modifies that file, so retain the separate-output setting. Read the prompt carefully if existing tracked changes are present. Google Docs documents creating a third document with differences as suggestions, but says column layout and table column width changes are not compared. Inspect those visually where they matter. Confirm your file types, account and application support before buying an extra AI subscription.

Approve the meaning before replacing the staff copy

Ask the procedure owner to resolve the change list and approve any resulting revision. A comparison locates differences; it does not establish that the new instruction is correct or authorized. Keep formatting-only changes separate where possible, and inspect the final layout for readable tables and instructions.
