Ask for a report someone can read and use
AI can help plan a spreadsheet report and its layout, but the useful deliverable is the checked file your reader receives. A table that fits on one page can still be too small to read or omit a needed column. Start with one approved worksheet and one intended reader. Ask for a readable PDF plus the editable workbook and its output settings. Ordinary spreadsheet layout tools may be enough without another AI product.
Define which information belongs in the report
Record the workbook revision, worksheet, required rows and columns, reporting period and intended use. Name the person who checks the source. Identify internal notes that must stay out and qualifications that must remain beside the relevant figures. Agree the paper size if the report will be printed, or the normal viewing size if it will be read on screen. Source freshness is a separate check: an attractive export does not show whether the data covers the current period.

Use a page-proof checklist with one fictional report
Imagine a fictional list of 36 jobs with columns for job reference, status, requested date, next step and an explanatory note. The output check records the first and last job, the required columns, repeated headings, long-note visibility and reviewer approval. Reject a copy that puts the final note column on separate pages without enough context to identify its job. Reject a one-page version that requires extreme zoom to read. A note saying Call the customer before arranging a visit must remain fully visible; a clipped line can hide the condition. This is a written review exercise, not a workbook or PDF we produced.
Separate width, page count and readable text
Microsoft documents Excel fitting a worksheet to one page wide while leaving its height automatic, allowing rows to continue onto more pages. It also warns that shrinking everything onto one page can make the printout difficult to read. Its Print Titles feature can repeat column headings on subsequent pages in the listed desktop versions. These are existing layout options to compare, not a guarantee that one setting suits every report. Demonstrate the intended workbook and app, including its PDF output, rather than assuming a browser and desktop edition have identical controls.

Open the saved copy before approving it
Review every page of the PDF in the reader and size your audience will use. Check the first and last required records against the workbook, and inspect the notes, headings, page order and any totals. Confirm that excluded internal information is absent. If the workbook changes, create and approve a new output rather than treating an older attachment as current. A chart needs its own source, labels and scale review; making the table printable does not validate a chart or the business meaning of the numbers.

Scope one reusable report before automating distribution
Ask for the approved source range, layout settings, editable workbook, reader copy, proof checklist and update instructions. Try a longer test copy before accepting a template that only works for a short list. Compare preparation, checking, correction and export time with your current method, using your actual monthly report count. Include setup, subscriptions and later layout changes. Count staff capacity separately from cash savings. Exovara can help prepare a focused reporting workflow; automatic refresh and sending need their own requirements and approval rules.
