Can AI make your staff handbook easier to navigate?

Try consistent headings and an updateable contents list before buying document-search AI. Check that staff can find the right section in the version they receive.

Improve the document structure before adding search AI

AI can help propose an outline or clearer section labels, but your existing document tool may solve the immediate navigation problem. Begin with an approved handbook that staff find difficult to use. Ask for a short contents list built from consistent headings and a demonstration of finding several ordinary sections. The first deliverable is a document people can navigate and maintain. Whether its instructions are current remains a separate review by the responsible owner.

Prepare a section map and a few real lookup questions

Record the approved source revision, chapter names, subheadings, intended readers and the format staff receive. Choose a few ordinary questions, such as where to find the purchase-request instructions or the process for correcting a job record. Map each question to the intended section and reviewer. Let the owner approve proposed heading changes so an easier label does not change the meaning or imply new responsibilities. Keep the original source and the proposed structure available for comparison.

Try three fictional navigation checks

First, a section titled Expenses is visually bold but absent from the generated contents list. Check whether it has the agreed heading style rather than adding a separate manual entry. Second, two introductory pages are inserted before a section that was on page seven; the finished contents list must point to its new location on page nine. Third, both purchasing and sales sections are called Approvals. Ask the owner whether clearer labels or a visible chapter hierarchy would distinguish them. These are proposed written checks, not a handbook or application test we performed.

Use the document tool's heading and contents features

Microsoft documents Word building an automatic table of contents from document headings. Its guidance identifies missing heading formatting as a reason for missing entries. A manually typed contents table is different and cannot be updated by Word in the same way. Microsoft also distinguishes updating page numbers from updating the entire table to reflect changed heading text. Have the provider demonstrate the appropriate option in your actual Word edition, including a renamed or newly added section. A neat-looking contents page alone does not establish a maintainable structure.

Test the copy that staff will receive

Give a colleague the proposed staff copy and the lookup questions, then ask them to locate the intended sections without the author's help. Check the heading labels, hierarchy, contents entries and page references together. If staff receive a PDF, inspect that exported file and test any contents links there; do not assume the editor preview proves its behaviour. Repeat after adding a section or changing page layout. Record unclear labels and wrong destinations, then correct the source structure before issuing another copy.

Scope a small navigation handover

Ask for the section map, agreed heading styles, updateable contents list, staff-copy checks and simple instructions for later edits. Agree who approves changes and publishes the current revision. Compare preparation, formatting, checking and ongoing updates with tidying the document directly. Use staff lookup effort and unresolved questions to judge value, including review and software costs. A searchable assistant may become useful for a larger approved library, but it needs its own source and access review. Exovara can help make the small document workflow clearer before that larger decision.
